Nomail AI ("we", "our", "us") provides a mobile-first email assistant that helps users triage Gmail messages through automated archiving, muting, summarisation and push-notification workflows. This Privacy Policy explains what data we collect through the Nomail AI mobile application, backend cloud functions and related services (the "Service"), how we process and protect that data, and the choices you have.

1. Information We Collect

2. Permissions We Request

To provide our email management service, we request permission to:

Read and organize your Gmail messages (to archive, label, and categorize them)
Receive notifications about new emails (to alert you when important messages arrive)

We do not request permission to send emails, compose messages, or access your contacts. We only access the minimum permissions necessary to provide our service.

3. How We Use Your Information

Email Processing & AI Analysis – When new emails arrive, we use AI technology to analyze them, generate summaries, and determine their importance. This helps us decide which emails to archive automatically and which ones to bring to your attention.
Email Management – Based on AI analysis or your direct instructions, we perform actions like archiving, muting, or organizing your emails in your Gmail account.
Notifications – For emails that require your attention, we send you push notifications with a brief summary and quick action options.
Data Storage – We securely store email summaries, categorization data, and your preferences so the app can display your organized inbox and remember your settings.
Service Improvement – We use anonymous usage data to improve our service reliability and fix technical issues. This data never includes your actual email content.

4. Data Sharing & Service Providers

To provide our service, we work with trusted third-party service providers who help us process and store your data:

Account Data – Your account information and preferences are retained until you delete your account or disconnect your Gmail account.
Email Data – Email summaries and categorization data are retained for a limited period after emails are archived, or until you delete your account.
Service Logs – Anonymous usage logs are retained for a limited period to help us improve our service.

You can request deletion of your data at any time by deleting your account through the app settings.

6. Your Choices & Rights

You have full control over your data and how we use it:

Disconnect Gmail – You can revoke Nomail AI's access to your Gmail account at any time through your Google Account security settings. We will delete your stored credentials promptly after disconnection.
Delete Your Account – You can delete your account and all associated data at any time through the app settings. This will permanently remove all your data from our systems.
Manage Notifications – You can enable or disable push notifications at any time through your device settings or app preferences.
Access Your Data – You can view and export your data through the app at any time.

7. Security

We take the security of your data seriously and implement industry-standard security measures:

All data transmission is encrypted using secure protocols
Your data is encrypted when stored in our databases
Access to your data is restricted to authorized systems and personnel only
Authentication credentials are stored securely and never shared
We regularly review and update our security practices to protect against threats

While we implement strong security measures, no method of transmission or storage is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your data to the best of our ability.

8. Children's Privacy

The Service is not directed to children under 13 and we do not knowingly collect personal data from them.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make material changes, we will notify you through the app or via email. The "Last updated" date at the top of this policy indicates when it was last revised.

Your continued use of the service after changes become effective constitutes acceptance of the updated policy.
